Start With a Central Point of Contact
Even if your team is spread across multiple locations, the order itself should be managed by one person or team. This central coordinator is responsible for collecting all the information (sizes, personalisation details, delivery addresses) and communicating with the supplier on behalf of the whole group.
Each location should have a local contact who is responsible for gathering sizes from their site and feeding them back to the central coordinator. This two-layer approach keeps communication manageable without putting all the burden on one person.
Collect Sizes Location by Location
Rather than trying to collect sizes from everyone at once across all sites, break it down by location. Create a separate Google Form or spreadsheet tab for each site and assign each local contact responsibility for filling it in.
Set the same deadline for all locations. Once you have responses from each site, compile them into a single size list before submitting to the supplier.
